Terms and Conditions

Reservations

To make a reservation, complete and return the booking form, together with a cheque made out to SWALLOW BIRDING to cover deposit of the tour in which you are interested. Provisional bookings may be made by email or phone as long as a booking form and deposit follow within 10 days. Because of the popularity of some tours they are liable to book quickly, therefore it is in your own interest to book early to avoid disappointment as we can only accept reservations in order of receipt. When you return the booking form with the deposit, you are entering into a contract with SWALLOW BIRDING. This means that you agree to accept all our conditions of booking. Our written confirmation of your booking means that we agree to operate your holiday as stated in our brochure.

Deposits

Deposits are to be sent with your booking form to secure your place on the tour.

3-4 Day Breaks £180
5 Days + Breaks £250

Payment

Payment of the balance is due 8 weeks before the departure date. On receipt of your deposit you will be sent a booking confirmation/invoice showing deposit paid and balance due for the tour you have chosen. If the balance has not been paid by the due date we reserve the right to treat your booking as cancelled and will pass on appropriate cancellation charges. Payment should be by cheque, made out to SWALLOW BIRDING. Please note that we do not accept payments by post-dated cheques or credit cards.

Cancellation

In the event of you cancelling a booking the deposit is non-refundable. Cancellation of a holiday less than 10 weeks prior to departure will result in all balance monies being forfeit. Please ensure you take out adequate travel insurance to cover this as early as possible. You do have the right to transfer the booking to another person, provided you cover any extra costs which this may incur. If it becomes necessary that we have to cancel a particular tour, whether through insufficient reservations, illness etc, then all deposits and other payments will be refunded in full.

Passport Requirements

For tours including flights, it is your responsibility to ensure that you have a valid passport. Your passport must be valid for at least six months after the duration of your tour.

Liability

We have taken all reasonable steps to ensure that the tours published in our brochure have been properly arranged. The vehicle hire, accommodation and restaurants are all reputable. We will accept liability as a direct result of negligence or breach of contractual duty in making arrangements for you. We will not accept liability for matters beyond our control arising out of carriage by air. We will also not accept liability for matters such as losses or additional expenses incurred as a result of transport delays, sickness, weather, strikes, war or other political crises, acts of God or other events which amount to force majeure.

Tour alterations

Circumstances can change i.e. weather conditions, transport, political situations and even bird migration. Because of this SWALLOW BIRDING reserves the right to change an itinerary if we feel it necessary or beneficial to the tour. If an itinerary has to be changed by the leader while you are on a tour then you must respect their professional decision.

Itineraries

We have put in much thought and groundwork to obtain the most out of each area visited. It is our aim to provide you with the best possible overall experience. We will take time to appreciate and savour each location visited. Our itineraries are designed to let you see as many species as possible within the particular areas visited. Our emphasis is on finding and seeing well, interesting or speciality species all at an enjoyable pace. We will not rush around getting brief views just to build up a huge list. It is very important that you come away from a SWALLOW BIRDING tour with great memories of birds and other wildlife.

Accommodation

SWALLOW BIRDING pride ourselves on our carefully selected lodgings, staying in good quality, comfortable accommodation of a high standard and where possible with en suite facilities. The food on offer in these establishments is again of the highest quality. If you are a single traveller and are prepared to share a twin room we will do our utmost to find a compatible roommate. If this is not possible, or if you would prefer a single room then a single supplement may apply.

What’s not included

Travel Insurance, meals other than those stated, drinks and any items of a personal nature.

Birds and other Wildlife

Species mentioned in our tour itineraries and checklists are meant as a guide only, hence you should not expect to see everything mentioned, although you should see a good proportion on the tour.

Price Increases

These may occur unexpectantly. Flights may be suddenly subject to extra surcharges/taxes from the flight operator/government. There may be cases where we have to take a different route from the one planned. We may also have to increase prices because of fluctuating exchange rates. In these cases we will inform you in writing of the cost of the increase.

Your Financial Protection

When you book an ATOL protected air holiday package with SWALLOW BIRDING you will receive a Confirmation Invoice from us confirming your arrangements and your protection under our Air Travel Organiser’s Licence number 9831. In the unlikely event of our insolvency, the CAA will ensure that you are not stranded abroad and will arrange to refund any money you have paid to us for an advance booking.
